About Wellspring Health

Wellspring Health is a women's health acupuncture clinic specializing in fertility support, reproductive health, and compassionate care. We're seeking an operations-minded leader to manage our clinic's day-to-day operations, staff, and business systems so our practitioners can focus entirely on patient care.

The Role

As our Office Manager and Clinic Operations Specialist, you will be the operational backbone of our clinic, working in partnership with the clinic owner.  This is not a clinical role—it's a business management position that requires someone who loves systems, organization, and supporting both staff and patients with equal care. You'll manage everything from scheduling and billing to marketing and clinic space, while creating an environment where both our team and our vulnerable patients feel supported and valued.  Please read to the bottom of the post to see how to apply.

What You'll Own

  • Staff Management: Hiring, training, scheduling, and supporting clinic staff; fostering a collaborative, compassionate team environment.

  • Operations & Scheduling: Managing patient schedules, clinic logistics, flow optimization, and operational systems.

  • Billing & Administration: Managing patient billing, insurance claims, financial records, and regulatory compliance.

  • Clinic Space: Overseeing clinic facilities, cleanliness, supplies, inventory, and maintenance.

  • Marketing & Patient Acquisition: Developing and executing clinic marketing strategies and patient outreach.

  • Budgeting & Financial Planning: Creating and managing operational budgets, tracking expenses, and supporting business growth.

You have a proven track record running business operations. You're detail-oriented, proactive, and you love when systems run smoothly. You understand that managing a clinic means managing people—both your staff and patients who may be navigating fertility challenges, health concerns, or significant pain. This requires both operational excellence and genuine compassion.

Essential Qualities:

  • Business Operations Expertise: You have hands-on experience running an office or clinic—managing staff, budgets, scheduling, billing, and the full range of business operations.

  • Detail-Oriented: You have strong attention to detail and take pride in accurate, organized systems.

  • Compassionate & Empathetic: You're naturally warm and empathetic to patients navigating vulnerable situations. Supporting clients with sensitivity and staff with genuine care matters to you.

  • Proactive Problem-Solver: You identify operational challenges before they become crises and implement solutions.

  • Strong Communication & Leadership: You can manage staff, collaborate with practitioners, and interact professionally with patients.

  • Ownership Mentality: You take pride in the success of the business and bring strategic thinking to operations.

  • No medical background required. We train the right personality.

Bonus (but not required):

  • Experience in healthcare, acupuncture, wellness, or fertility-related fields.

  • Knowledge of women's health or fertility topics.

Required Skills

  • Proficiency with scheduling software, billing systems, and standard office software (Microsoft Office, Google Workspace, etc.).

  • Ability to manage multiple priorities and deadlines simultaneously.

  • Strong written and verbal communication skills.

  • Discretion and professionalism when handling sensitive patient and financial information.

  • No medical background required. We train the right personality.

This is a full-time position primarily in-person with additional remote hours.
